Junior High School Principal's Secretary / PEIMS Clerk

Hours:  7:30 a.m. - 4:00 p.m.                    Days in Service:         207


The following duties are to be performed by the Junior High School Principal's Secretary & PEIMS Clerk:

·        Answer all incoming calls using professional and helpful etiquette.

 

·        Take and deliver all messages & Correspondence, dictation, including e-mail for Junior High School Office and the principal maintaining confidentiality.

 

 

·        Greet and/or direct all guests at front window.

 

·        Maintain New Student Folders with all documentation and forms to facilitate student check-in procedures.

 

 

·        Make sure all paper work is filled out for new students at reception desk before new students see counselor.  Collect all signatures and documentation for permanent folder form parents during initial check-in. ( See Cumulative folder Checklist)

 

·        Provide new student/parent with Student Handbook and Special programs information.

 

 

·        Copy/Send/Process “request for records”

·         Enter (or verify entry by teachers) all grade information

·         Process student report cards

·         Maintain and enter all special education information

·         Maintain all Special Programs information (At Risk, Career & Technology, 504)

·         Acquire current printout from Cafeteria Clerk. Maintain and enter all free and reduced lunch information.

 

 

The PEIMS Clerk will generate a final leaver report that contains all leavers from the current school year.  This will be an alpha report containing the following information:

·        Social security number or Alternate identification number;

·        Student’s full name;

·        Leaver reason;

·        Dropout indicator;

·        Date of graduation; and graduation type (Recommended or DAP);

·        Economic disadvantaged code;

·        Special education indicator;

·        Sex; and

·        Ethnicity.

 

·       The PEIMS Clerk  will generate a final “no show” list no later than September 1 of the current school year containing the same information as shown above.  Each name on this list must have a leaver tracking form on file.

·         The PEIMS clerk will review all PEIMS errors concerning the 203 record.  If the errors cannot be corrected, the personnel will annotate the reason.  These remarks will be maintained for audit purposes.

·         The PEIMS clerk will review and correct all PID errors.  PID errors that require manual intervention by TEA will be forwarded to the Central Office for processing no later than the Education Service Center’s due date.

The Junior High School Secretary will receive from the Junior High School Principal a yearly evaluation based upon these duties.  The Secretary may be asked to perform other duties as necessary.  These other duties will be taken into consideration at time of evaluation.
