Proper Procedure for any and all Vehicle Requests District Regulations require that all field trips be approved by the building principle or an administrator prior to requesting a vehicle. The Transportation Department will assume that you have previously gained approval from the building principle or an administrator BEFORE you request a vehicle. It is your responsibility to find out what vehicle you have been assigned before leaving the bus barn with any vehicle. You are NOT allowed to take a vehicle from the bus barn unless it has been specifically assigned to you. There is a method to this madness! We assign all vehicles according to time, distance, routes, number of passengers and fuel costs. It is also your responsibility to make sure you have a trip sheet for calculating your mileage for your trip. I will have a trip sheet here in my office for you, all you need to do is come by and pick it up and it will have your assigned vehicle already on it. This form will need to be turned into the Transportation Department as soon as you return from your trip (except coaches, must turn in at the end of month). All coaches should have a trip sheet folder made for them at the beginning of the school year, with a monthly sheet for each month to write mileage in. This monthly form should be turned into the Transportation Office at the end of each month regardless even if you do or do not drive that month. The field trip spreadsheet will no longer be sent to all employees but to all individuals that have put in a request and to all building principles and administrators.
