Arp ISD RFP for VoIP System

 
 

Current Environment

Arp ISD previously chose to develop the district-wide VoIP architecture around Nortel Networks. Currently Arp ISD has an end-of-life GE Capital server and BCM 3.5 Base System with 47 CallPilot Voice Messaging Licenses through Embarq. The solution included  BCM 8 Analog Station Module, BCM 8 Global Analog Trunk Carriage, 47 i2002 IP telephones  and  7 i24004 IP Sets, all without power supplies connected to  PoE provided by Cisco switches (Catalyst 3560 Series PoE-24).  Embarq laid 1000 ft 100 Pair Shielded 24 gauged copper cable to local service.  Capacity: 8 lines with 47 stations, 8 analog ports and 47 mailboxes with maximum capacity of 90 ports. The GE Capital Leasing solution (BCM) was not eligible for E-Rate. We are therefore looking for a hosted solution to comply with E-Rate. This will be a key component for evaluation and selection.

Scope of work:

·         Provide new solution for Business Communication Manager System (BCM400) with minimum of (8) Analog Trunks.

·         Provide server specs to IT Department to purchase server unit with appropriate OS

·         Provide replacement software for 50-60 seats of  voice messaging and VoIP client access licenses

·         Provide replacement IP Nortel Networks phones, minimum of 50

·         Provide management software and training for Arp ISD IT Dept

·         Place, test, and label all new or additional equipment and phones

·         Phones should be compatible with existing Cisco PoE switches

·         Provide terms and conditions of software licensing and any limitations on the use of software, updates, and/or additional license purchases

Desired System

The desired solution defined in this document is for the LAN infrastructure hardware and service for Arp ISD. Bidders must include any and all changes necessary at the technology center to successfully meet the requirements for the district.

Physical Environment

The proposed system will be installed in the Main Distribution Facility located in the IT Department at the Arp High School. It is desirable that all system equipment be rack mounted in standard 19” equipment racks. The UPS will be provided by the bidder.

All wiring will be installed by a contractor selected by Arp ISD.

Projected Installation Date

It is anticipated that this project will start in July of 2010. All installation , including configuration and testing must be completed by August 2010. Vendors are encouraged to ask questions and to make suggestion for revisions to this RFP that may benefit Arp ISD in procuring or operating the system.
